Title: Assisted Living Administrator (Birch Grove)
Reports to: Director, Health Care Services
Status: Exempt (Salary)
Summary of Job Responsibilities:
The Administrator is responsible for the supervision, coordination, and monitoring of all services offered in the Birch Grove Assisted Living community (Birch Grove). The Administrator oversees the day-to-day operations of Birch Grove and assists team members individually in their work as well as their work as a team. The Administrator is responsible for ensuring that the quality of the services delivered and the quality of life for the residents is consistently excellent and the upkeep and overall appearance of the households is impeccable. The Administrator is responsible for compliance with all regulatory requirements.
Essential Functions & Responsibilities:
- Create and maintain a warm, cordial, and calm household environment.
- Act as a liaison between residents, the community and family, coordinate and conduct regularly scheduled family meetings and support groups
- Create and distribute annual surveys to residents and families to determine level of satisfaction,
- Coordinate with the Director of Healthcare services for the orientation of any third-party providers: dental, podiatry, home health care agencies and hospice.
- Discuss observations/concerns about the care of the residents with Nurses and CNA’s on timely basis.
- Communicate and consult with Health Services Department team to ensure proper level of care is being delivered.
- Participate in decisions regarding permanent or temporary transfers of residents.
- Coordinate Dining, Activities and housekeeping and interact with department heads on a regular basis. .
- Coordinate weekly work team meetings and conduct quarterly team trainings.
- Work with Nurse Manager to maintain knowledge of and monitor resident records as necessary to ensure regulatory compliance.
- Coordinate arrangements for campus wide regulatory required in-service trainings; review and monitor the team’s attendance at scheduled trainings
- Perform Sales Tours, as needed, intro meeting with potential elders/family and gathering move in paperwork
- Interview candidates for employment, and complete new hire paperwork. Coordinate onboarding program for new hires, including the Green House Educator CORE Training Program and 15 hours of state regulated training.
· Counsel/discipline employees as required, oversee/prepare schedules to assure compliance with staffing requirements and review, approve and submit payroll on a timely basis.
- Coordinate and participate in the Quality Improvement and Assurance Program to evaluate operations and services with the goal of improving services and operations and to assure resident health, safety, and welfare on a quarterly basis (Ref: State Reg 651 CMR 12.04 (10).
- Meet operational budget and occupancy goals.
- Demonstrate competency in the use of the household computer programs, lift systems and appliances.
- Participate in meetings with Health Services team, FHV Director of Dining Services, FHV Director of Sales and Marketing, Director of Finance and CEO as necessary.

The Fox Hill Village Health & Wellness Center is led by a Nurse Practitioner. The Center provides health, wellness and urgent care services to maximize the health and well-being of all residents of Fox Hill Village, a senior living cooperative in Westwood, Massachusetts. The Health & Wellness Center provides specialized and holistic care of older adults along the health-illness continuum. The Fox Hill (FH) Registered Nurse holds a license from the Commonwealth of Massachusetts as a Registered Nurse (RN) to practice professional nursing activities.
The Registered Nurses is responsible for the assessment, planning, intervention, and evaluation of nursing care for individuals, families, and communities. They are involved in clinical decision making leading to the development and implementation of a strategy of care to accomplish defined goals, the administration of medication, therapeutics and treatment prescribed by duly authorized nurses in advanced practice roles and the evaluation of an individual’s responses to care and treatment.
Responsibilities of registered nurse also include but are not limited to the performance of services which promote and support optimal functioning across the life span; the collaboration with other members of the health team to achieve defined goals; health counseling and teaching; the provision of comfort measures; teaching and supervising others; and participation in research which contributes to the expansion of nursing knowledge.

Summary of Job Responsibilities:
The Nurse is responsible for assisting the Health Care Director in monitoring resident needs, notifying the Health Care Director of any changes observed in resident condition, and ensuring that all services outlined in the residents’ service plans are delivered with excellent quality, on time, and with respect. The Nurse will assist with all aspects of compliance with all state and local requirements. The Nurse reports to the Health Care Director and works in collaboration with the
Nurses and CNAs in independent living as well as our assisted livings. The nurse must support, honor, and respect the philosophy of the Green House® Project and its self-managed work team of CNAs.
Essential Functions & Responsibilities:
- Engage in regular communication with the CNA work team on each shift to obtain an update on each resident.
- Review and monitor the overall adequacy of each resident’s ALIS Care Plan to ensure that each Care Plan is being administered properly.
- Provide assessment visits to residents who present with symptoms or appear to have had a change in their condition. Use nursing judgment to determine if any resident needs prompt medical attention; provide emergency nursing care/first aid such as CPR, Heimlich Maneuver, and AED Machine as necessary; communicate follow-up care to CNA work team as appropriate; report incidents/illnesses to family members.
- Work in collaboration with CNAs as part of the overall self-managed work team.
- Maintain communications with physicians and home healthcare agencies providing services.
- Develop and implement strategies that promote person-centered care.

Essential Functions & Responsibilities:
- Any task requested by Fox Hill Village Management that helps to ensure resident safety and security.
- Assist the Life Enrichment Coordinator in creating and implementing activities related to gross motor activities, self-care activities, social activities, and sensory and memory enhancement activities and offering a minimum of four daily that provide enjoyment for the residents of each cottage.
- Ensure purchases for activity supplies do not exceed the budget.
- Work with outside entertainment vendors to ensure their invoices are received and submitted to Guide.
- Ensure that all activity supply areas and “self–starter” tables are kept neat,
- organized, and updated.
- Work with the Guide to complete a profile of each resident, and identify activities and enrichment tools that each resident would enjoy.
- Assist the Life Enrichment Coordinator in determining if any enrichment items are
- necessary as new residents move in and interest change among the current population and work with the administrator to procure those items.
- Ensure the safety of all Birch Grove residents participating in programs both
- inside and outside the cottages.
- Assist the Life Enrichment Coordinator in communicating with families to ensure we have a biography and relevant information for each resident for their “spotlight week”.
